Managing Company Printing - Are You Taking Advantage of What's Available?

Is your company printing being managed with maximum efficiencies, minimum fuss and best price practice in mind. Many businesses are situated in CBD's, in sensational offices with panoramic views and lease payments to match.

I have noticed a problem shared by many of these businesses, they don't have any storage space. CBD rents are so high that very few can justify spending a chunk of rent on storage space.

Many times I have visited my customers for a chat and to check on which documents need reprinting, only to be directed to the lady's toilet or the kitchen, or some other obscure place, to check on stock levels.

I can't think of a stickier situation than the MD wanting an urgent letter posted in today's mail only to be advised that -

"Ah, excuse me sir, it seems we've run out of letterheads" Tell me the poo won't hit the air conditioner in that office. The unit cost of printing reduces dramatically as the quantity increases, particularly on smaller runs.

Here's what they did.

Instead of ordering 2 boxes of letterheads (4,000) as usual, they ordered 4 boxes or 8,000. They had 2 boxes delivered and the other 2 boxes held at the printers. When they ran short of letterheads in the office all they did was contact the printer and the remaining 2 boxes would be delivered within 2 hours. And... the printers would automatically reprint 4 boxes and hold them in store.

Smart move... they killed 2 birds with 1 stone!!

Benefit No 1. They did not have tt worry about running out ever again because they had access to a supply within 2 hours.

Benefit No 2. The unit printing cost reduced by 20%. They were paying $125.00 per thousand for 4,000 and the 8,000 order reduced the unit price to $100.00 per thousand.

A 20% Saving!

Now, if the boss wants an urgent letter out and there's no letterheads, not a problem. With one phone call they can have fresh supplies within 2 hours, guaranteed. Also, it's best to nominate one person within the organization to manage company printing. Shared responsibility has it's own set of problems.

Company printing is a very important aspect of the business and in too many cases it's delegated to the receptionist or the office junior, usually neither of which are remotely interested in the responsibility and do not have any experience at all with managing company printing.
